What this policy covers
This policy covers information handled by the private Studio OS workspace and its Google connection. It does not replace a photography agreement or the privacy policies of Google and other services you use independently.
Information we access and use
The workspace stores account information, contacts, project and scheduling details, documents, and business communications. With the mailbox owner’s authorization, it accesses the connected Gmail address, message identifiers, senders and recipients, subjects, message bodies, conversation history, labels and read status, and attachments needed for email features. Imported mail may include conversations unrelated to a studio project.
We use this information to display and search email, organize studio work, compose and send authorized messages, update read status, provide requested drafting assistance, and run approved reminder workflows. Google authorization tokens keep the connection working without storing your Google password.
Storage and access
Email copies and related records are stored in the studio’s hosted database and, where applicable, document storage. The app uses Supabase for authentication, database and storage services, and Vercel for hosting and server processing. Access to workspace records is restricted by studio membership and role. Google refresh tokens are encrypted before storage. Technical service logs may contain request and error information needed to operate and troubleshoot the app.
Sharing and AI assistance
Information is accessible to authorized studio users and service providers as needed to operate the workspace. Sending an email shares its contents and attachments with the recipients selected by the user or an approved reminder workflow.
When an authorized user requests AI assistance, selected message, document, or project context may be processed by the configured drafting provider, including Apple Intelligence on the studio owner’s Mac or OpenAI when a cloud provider is enabled. Suggestions are for review; requesting a draft does not itself send an email.
We do not sell Google user data, use it for advertising, or use it to train generalized AI models. Studio OS’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
Retention, revocation, and deletion
Studio records and imported email are retained for ongoing studio operations unless removed by an authorized administrator or in response to an applicable deletion request. Some records may need to be retained to meet legal obligations or resolve disputes. Copies in backups may remain until those backups are replaced or expire.
You can revoke Google access through your Google Account connections. Revoking access stops future authorized Gmail access but does not automatically delete email copies already stored in the CRM or messages already sent. Contact tyriqpresleyphoto@gmail.com to request deletion of stored Google data, removal of the connection credentials, or information about your records.
Contact and updates
For privacy questions or requests, contact SHOT BY TY, LLC at tyriqpresleyphoto@gmail.com. We may update this policy as the workspace changes. The effective date above identifies the current version.
